Fixed commitments
Supply the time by which the group must arrive, rather than estimating only a departure time. This is particularly important for flights, performances and venue entry slots.
Private group transport across London
London minibus, bus and coach hire planned around your itinerary
Book one coordinated transport plan for your group instead of piecing together separate journeys. Zonetransfers arranges chauffeur-driven minibuses, buses and coaches for London airports, business programmes, educational visits, private events and multi-day touring. Quotes are built around the vehicle and the complete operating schedule, never presented as a misleading per-person fare.
A London transport brief should begin with the moments that cannot move: flight arrivals, conference registration, timed admissions, restaurant bookings and airport check-in. Once those anchors are known, the collection order, loading time and vehicle category can be planned around them.
A passenger count on its own is not enough. Twenty delegates carrying cabin bags have a different space requirement from twenty delegates arriving with exhibition materials and large suitcases. Tell us what is travelling as well as who is travelling, especially when the group carries wheelchairs, pushchairs, musical instruments, sports equipment or production cases.
Supply the time by which the group must arrive, rather than estimating only a departure time. This is particularly important for flights, performances and venue entry slots.
Use the venue or hotel name together with its full address and postcode. London properties with similar names may have different entrances and loading arrangements.
List standard suitcases separately from bulky items. The usable luggage capacity, not the advertised seat total, may determine the final vehicle class.
A programme that looks compact on a map may cross several different operating environments. Westminster and the South Bank have busy kerbsides and controlled loading areas; the City of London can be slow at business peaks; Greenwich Peninsula, Wembley and ExCeL London introduce event-specific traffic plans; and suburban hotels can add substantial repositioning time between journeys.
A large vehicle cannot simply stop wherever the group finishes its visit. The practical drop-off point may be a short walk from the front door, and the later collection point may be somewhere else. Passengers should be assembled before the agreed departure time because a driver may be unable to wait at a bus stop, restricted kerb or active loading bay.
Allow for controlled stopping, one-way streets and the time needed to bring the group back together. A list of landmarks is not an operating itinerary until suitable boarding points and timings have been checked.
For Wembley, The O2, ExCeL London, Olympia London and major sporting events, include the event name, entry gate and organiser instructions. Normal access may change on busy dates.
Heathrow, Gatwick, Stansted and Luton approach London from different directions. Treating passengers from all four airports as a single collection can create excessive waiting and cross-city mileage. A stronger plan groups travellers by airport and arrival window, then brings them together at the hotel, conference venue or first scheduled activity.
Provide the flight number, arrival terminal and passenger list for each flight. If the group lands in stages, define how long the first passengers should wait before a vehicle departs.
Identify the North or South Terminal and the exact London destination. The onward plan changes considerably between a central hotel, an outer-London address and a venue south of the Thames.
Stansted works naturally with destinations in north and east London. Adding several hotel stops across central London should be disclosed because it changes the required operating time.
For the return journey, the schedule must include collection, luggage loading and an appropriate airport check-in margin. Multiple London pickups should be sequenced before confirming the departure time.
Smaller parties and executive movements can also use chauffeur-driven cars in London . For individual point-to-point journeys, see private transfers in London .
The smallest journey should not determine the vehicle. If passengers collect exhibition material during the day, if a school group carries packed luggage only on arrival and departure, or if extra guests join for an evening event, capacity should be tested against that peak movement.
Suitable for compact groups and detailed hotel-to-venue work where a smaller footprint is useful. Passenger and luggage limits must be confirmed together.
A practical middle ground for delegations, university groups and multi-stop programmes that require more capacity without automatically using a full-size coach.
Designed for larger groups, airport baggage and longer touring days. The route must include suitable drop-off, collection and parking arrangements.
Hotel pickup, registration deadline, venue transfer, group dinner and staggered returns. Delegates and event crew may need separate vehicles because their operating times are different.
Daily hotel departures, timed attractions, headcounts and an agreed group leader for each vehicle. Ages and any restraint or accessibility requirements must be declared before confirmation.
A London stay can connect with Windsor, Oxford, Cambridge, Bath or Stonehenge. The order should respect driving time, legal breaks, attraction times and the location of the following overnight stay.
A multi-day request should be submitted as one complete programme. This allows Zonetransfers to identify days that may require different vehicles, additional drivers, parking arrangements or overnight positioning.
Properties such as Park Plaza Westminster Bridge, Hilton London Metropole, Novotel London West, The Tower Hotel and InterContinental London – The O2 sit in different parts of the city and should not be treated as interchangeable “central London” stops. Use the booked property’s full address and postcode in the transport schedule.
For convention and entertainment venues, include the hall, entrance, gate or coach instruction issued by the organiser. A postcode identifies the area, but a venue-specific access note can determine where the passengers actually leave or rejoin the vehicle.
Changes after confirmation may affect availability, vehicle suitability and cost. A complete first brief gives Zonetransfers the best basis for an accurate proposal.
Yes. Dates, operating times, full addresses, passenger numbers and luggage information are needed to assess vehicle size, mileage, waiting time and access requirements. An incomplete schedule can only produce an incomplete estimate.
It may be possible, but it is not always efficient. Heathrow, Gatwick, Stansted and Luton serve London from different directions. Separate airport vehicles can reduce cross-city mileage and avoid making early arrivals wait for later flights.
No. Waiting depends on local restrictions, authorised bays and available parking. The drop-off and collection points may differ, so the tour leader should keep in contact with the driver and assemble passengers before pickup.
Provide the number of standard suitcases and list bulky equipment separately. A vehicle with enough passenger seats may still be unsuitable if its luggage compartment cannot accommodate the group’s load.
Request the change before travel. Additional stops can affect mileage, timing, access, driver hours and the suitability of the allocated vehicle. A change is not confirmed until it has been accepted.
The quotation should state how expected route charges and parking are treated. Because these depend on the vehicle, itinerary and operating date, they should not be assumed unless they appear in the accepted proposal.
Send the passenger count, luggage profile, flight details, postcodes and required arrival times. We will use them to prepare a vehicle proposal around the actual movements your group needs.
